How to schedule Instagram posts, Reels and Stories

Scheduling Instagram content means you write when you have time and publish when your audience is around — without setting alarms. Here's what you need, the two ways to do it, and the rules that make scheduled posts fail.
What you need before you start
A professional Instagram account. Instagram only lets scheduling tools publish to Business and Creator accounts. If you still have a personal account, switch in the app's settings (Account type and tools → Switch to professional account); it's free and takes a minute.
Media for every post. Instagram doesn't accept text-only posts: every post needs at least one image or video.
Option 1: schedule inside Instagram
Professional accounts can schedule directly in the Instagram app: create your post, open the advanced settings and choose a publication time. Meta Business Suite offers the same from a computer, and can also schedule your Facebook posts. It's a good option if Instagram is your only network and you publish alone.
Option 2: schedule with Wavnil
If you publish on several networks, work with a team or want a single calendar for everything, a scheduling tool saves time. Here's how it works in Wavnil:
- Connect your account — sign in with Instagram, or through the Facebook Page linked to your professional account.
- Create the post — upload your media, write your caption (up to 2,200 characters) and add up to five hashtags, Instagram's limit per post since December 2025.
- Choose the format — a single photo, a carousel of 2 to 10 photos or videos, a Reel, or a Story (one image or video), each with its own recommended size. You can also invite collaborators on a post or a Reel.
- Adapt it per channel — if the same post also goes to TikTok or LinkedIn, customise the text for each channel instead of copy-pasting.
- Pick a time — Wavnil suggests the next free posting time slot; keep it or choose another date and time. Not sure which slots to set? Start from the best times to post on Instagram.
- Check the preview and schedule — Wavnil publishes it for you at the planned time.
Rules that make scheduled posts fail
- Wrong account type: publishing to a personal account isn't possible through the API.
- Carousel size: carousels need between 2 and 10 media files.
- Stories: one image or video per Story.
- Too many hashtags: posts and Reels are limited to five, and extra tags can block publication.
- Expired connection: if you change your Instagram password or permissions, reconnect the account so scheduled posts can go out.
Tips for a smoother routine
- Batch your content. Set aside one session a week to write and schedule the next seven days.
- Hook in the first line. Only the beginning of your caption shows before "more", so lead with the point.
- Keep your spacing. Instagram can remove empty lines between paragraphs; our line break generator keeps them.
- Polish your profile. A clear bio helps new visitors follow you — try the bio generator, and Instagram fonts for a touch of style.
